Fleet Administration

Fleet admin, simplified

Centralise vehicle records, driver management, documents, and compliance data in one platform. No more scattered systems, shared drives, and email chains.

Fleet admin is drowning in manual processes

Fleet administration in most UK businesses runs on a patchwork of tools — a spreadsheet here, a shared drive there, email attachments, Outlook reminders, and filing cabinets. Vehicle records live in one place. Driver documents in another. Service history in a third. Nobody has a single source of truth.

This fragmentation creates real problems. When a driver leaves, finding all their assigned vehicles takes an hour. When an auditor asks for insurance certificates, you dig through folders. When the MD wants a fleet cost summary, you spend half a day building one from scratch.

The overhead compounds as fleets grow. What works for 5 vehicles breaks at 20. Administration that took an hour a week becomes a full-time role. And the risk of missed deadlines, lost documents, and compliance gaps grows with every vehicle added.

How Kedra streamlines fleet admin

One platform for every vehicle record, driver, document, and deadline. Structured, searchable, and always up to date.

DVLA Auto-Fill on Vehicle Add

Enter a registration number and Kedra pulls make, model, colour, fuel type, CO2, MOT status, and tax status from DVLA. No manual data entry needed.

Driver Management & Assignment

Assign drivers to vehicles, track licence details, manage emergency contacts, and monitor licence check schedules. See driver status at a glance across the fleet.

Document Storage & Categorisation

Upload insurance certificates, V5C logs, lease agreements, and service records. Documents attach to the relevant vehicle and are searchable by category and date.

Smart Import & CSV Export

Import fleet data from CSV or xlsx files with intelligent column recognition. Export vehicles, compliance data, and fuel records as CSV for reporting or migration.

Frequently asked questions

What fleet admin tasks does Kedra handle?

Kedra centralises vehicle records, driver assignments, document storage, cost tracking, service history, fuel logging, insurance management, and compliance monitoring. Anything you currently track across scattered tools and filing cabinets belongs in Kedra.

Can I import my existing fleet data?

Yes. Kedra supports CSV import, smart xlsx/xls import with intelligent layout detection, and DVLA lookup by registration. Most fleets are fully imported within an hour. We recognise columns from other fleet software automatically.

How does document storage work?

Upload and categorise documents per vehicle: insurance certificates, V5C logs, lease agreements, service invoices, and inspection records. Documents are stored securely with role-based access and appear on the relevant vehicle detail tab.

Can multiple people access the system?

Yes. Kedra supports multiple users per organisation with role-based access. Fleet managers, administrators, and drivers each see what they need. All changes are logged in the audit trail.

Does Kedra support multi-site operations?

Yes. You can create sites (depots, branches, locations) and assign vehicles and drivers to each. The site selector in the navigation bar lets you filter all views by location.

Is there an API for integration with other systems?

Kedra provides a REST API (v1) with endpoints for vehicles, compliance data, and fleet summaries. API access uses SHA-256 hashed keys with rate limiting. Xero accounting integration is also built in.

How does the audit trail work?

Every change to vehicle records, driver assignments, compliance data, and documents is logged with a timestamp, user, and description. The audit trail is searchable and exportable for compliance evidence.
